GIZ takes the protection of personal data very seriously. This declaration explains what personal data is stored and what it is used for.

info@ptx-hub.org - The personal data stored (name, e-mail address, position, organisation) and used in the CiviCRM contact database that is required for the purpose of informing contacts of news and events by the International PtX Hub will be stored on GIZ and on secure servers provides by our service provider “civilisten GmbH” who is processing personal data on our behalf according to Art. 28 GDPR.
- When registering for the PtX Hub newsletter, the following personal data is stored: e-mail address.
- When registering for an event, the following personal data is stored: e-mail address, name, organisation, position, country/region, and gender. Not all listed data categories are mandatory.
- After participants have registered for an event, a confirmation email with an individualised QR code is sent to them. The QR code is then scanned at the entrance to check in the participants at the event. The QR code is generated by CiviCRM. For on-site scanning, the CiviMobile app is used. It transfers the participant status to CiviCRM. A Unique Identifier is used to transmit the information from QR code to the CiviCRM system. No additional personal data is collected and the app is only used for transmission, but not for storing any participant data. No data is synchronised to the user’s device at any time.
- When registering for trainings, study tours and delegation trips, the following personal data is stored: e-mail address, name, position, organisation, age, country/region, gender, telephone number, education, and dietary preferences. Not all listed data categories are mandatory.

The data will be used solely for the purpose of participant management (e.g., invitation, registration, and follow-up) and communication purposes.
- The legal basis for processing personal data within the framework of this public relations work and communication purposes is Article 6 e) of the EU General Data Protection Regulation (GDPR). Where we obtain consent to process personal data, the legal basis is provided by Article 6 a) of the GDPR.
- The data will be used exclusively for the purposes described in the statement. Any other use will always be subject to further consent. Your data will not be used for advertising purposes.
- GIZ uses appropriate technical and organisational measures to secure data against unintentional or intentional falsification, destruction, loss or access by unauthorised persons. Access to your personal data is restricted to GIZ staff from the International PtX Hub who need to process it for the above-mentioned purpose(s), and who will handle the information you provide in a proper and confidential manner.
- The data will solely be passed on to civilisten GmbH, the service provider for the customer relationship management system (CRM) used by GIZ. Your data will not be transferred to a third country outside the EU.
This consent is voluntarily and will remain valid even if no use of the data took place for a period of two years after it was signed. The data will be deleted after the project duration or if the data subject demands the deletion of his or her data before that date via info@ptx-hub.org.
Rights of data subjects
You are entitled to enquire about your personal data, have the data corrected if necessary, and ask for processing to be restricted or data to be erased. The data will then be removed from our system. The consent given to use personal data can also be revoked at any time. This does not affect the lawfulness of processing up to the time of revocation.
