We are looking for an office manager (m/f/d) to support our administrative processes in Berlin.

The position

  • Organisation of the general office processes as well as support of the team in appointment coordination, contact management, the organisation and billing of business trips as well as room management
  • Logistical planning, administrative support (e.g. drafting protocols) as well as preparation and follow-up of information events, workshops, trainings, and meetings (in-person and virtual formats)
  • Procurement and administration of material assets as well as maintenance of inventories, including inventory, information and knowledge management, appropriate documentation of the processes and support of the team with filing structures
  • Processing of invoices, procurement of office supplies, IT hardware, office furniture, etc. according to the specifications of the order managers and in coordination with the responsible GIZ departments as well as travel management including billing
  • Act as the first point of contact for incoming contacts (e.g. other GIZ units, external project partners or press inquiries)
  • Internal information management, documentation of ongoing and recurring processes as well as independent management of file storage, including support for employees in these areas
  • Administrative onboarding of new employees and interns
  • Manage the PtX Hub internal tutorials on organisational processes (e.g. instructions for onboarding new employees, conducting study trips or conference participation)

Your profile

  • Completed vocational training relevant to the position
  • Several years of relevant professional experience in office management as well as in the management of complex administrative processes and international events with more than 50 participants
  • Several years of professional experience and relevant expertise in working with IT systems and tools, in particular Microsoft Office (especially Microsoft Word and Microsoft Outlook) as well as Microsoft Teams
  • Ability to work in a team, adaptability, high and fast comprehension, proactivity
  • Organisational skills, good time management and self-organisation, high diligence
  • Enjoy working in an international team and an agile working environment
  • Confident and friendly appearance, strong communication skills, intercultural competence
  • Fluent in German and English; knowledge of Spanish is an advantage
